Collecting host offers, assigning guests, and telling both sides where they stand.

Setting it up

  1. Share the host link. Copy the Lodging Host Registration link from your dashboard home and send it to the host congregation. Families fill in a short public form: contact information, how many beds, and household details like pets or accessibility.
  2. Add the phone-in hosts yourself. On the Lodging screen, the Add Host button records a family who offered verbally instead of online.
  3. Pick your cancellation policy. The "Guest Cancellation Policy" panel offers four levels, from Direct (guests may cancel their own lodging) through Committee approves and Contact only up to Locked. Choose the one that fits how your committee wants to handle changes.

Managing it day to day

The Lodging screen is the whole picture: total hosts, beds remaining, and who is still unassigned, with two tabs: Hosts & Assignments and Unassigned Guests. Assign each guest against the host's real bed count; search and capacity filters help when the list gets long.

Notifying both sides: when assignments are ready, the Notify Guests and Notify Hosts buttons send everyone their details by text, in paced batches so nothing gets flagged as spam. The queue shows exactly who is about to receive what.

When plans change: a freed bed shows up in the "Freed Beds" panel with one-click buttons to re-offer it to an unassigned guest, and the "Lodging Changes" feed keeps a running record of who dropped, when, and why, so the committee is never guessing what happened.

Printables: the Print menu includes a Lodging Host Directory, a host map, the full assignments list, and an unassigned guests report.

Hosts can manage their own preferences too: each host receives a personal edit link where they can review their information and, if you allow it, take part in choosing guests.
