What we keep, and who can see it.

Who we are

Cordial Conference is a platform that church and school meetings use to run registration, lodging, meals and rides. The committee running your meeting chose it; we build and host it. This page covers everything on cordialconference.com and every meeting's own subdomain.

What we collect

• Registration details you or your school's secretary type in: names, contact details, and the answers the meeting's form asks for.
• A mobile number, if you give one — used only to text you about your meeting, exactly as our text message policy describes.
• Lodging details: what hosts offer and who is staying where.
• Travel details you choose to share — a flight number, an arrival day — so a ride can meet you.
• Nothing from anywhere else. We do not buy data, scrape profiles, or collect anything you did not type into one of our forms.

What it is used for

Running your meeting: the roster, the name tags, the lodging assignments, the meal counts, the shuttle timetable, and the messages that hold it all together. That is the whole list. There is no advertising on this platform and your information is never used for any.

Whose information it is

Each meeting's information belongs to the committee running that meeting — we are the toolmaker, not the owner. The committee can see the details people submitted for their meeting, the same way a paper registration form would sit in their filing box. One meeting never sees another meeting's information.

Payments

Card and bank details go straight to the payment processor — Stripe or PayPal — on their own secure pages. Card numbers never touch our servers and we could not show them to you if we wanted to.

The services that help us

A few providers carry pieces of the work, and see only what that piece needs: Twilio delivers texts, SendGrid delivers email, Stripe and PayPal handle money, Google turns street addresses into map pins, and flight times you share are checked against an airline schedule service. None of them may use your information for anything of their own. Our servers are in the United States.

Cookies

Two, both practical: one keeps committee members signed in, and one lets a guest's own ride page reopen without retyping a link. No advertising cookies, no analytics trackers, nothing that follows you elsewhere.

Children

School meetings naturally include students' names, entered by their school or their parents. Those details are used only to run the meeting — seating, lodging, name tags — and are visible only to that meeting's committee.

How long we keep it

Meetings come back — the same conference returns to the same city years apart — so a committee's records are kept for them between years unless they remove them. If you want your own details corrected or removed, ask your meeting's committee, or email us and a person will take care of it.
