Period lodging

For youth classes: weeks of lodging placed home by home, period by period.

Setting it up

  1. Set the class dates and type. In Dashboard Settings, enter the Meeting Start and End dates, pick Girls Class or Boys Class (this words every host-facing page correctly), and decide whether to check Let hosts choose their own guests.
  2. Create the periods. Open Periods in the top menu. Each period gets a name and Arrives / Departs dates. Departs is the morning the young people leave, which is the same day the next period arrives, and the screen shows it that way so the handoff day never reads as an overlap.
  3. Bring in the roster. Under Attendees, use the import screen to paste or upload the class list. There is no public registration for a youth class; the committee decides who is on the list.
  4. Share the host link. The Lodging screen shows the host sign-up link. Families open it, register their home, and say how many they can host in each period.

Managing it day to day

The Lodging screen (titled "Lodging Assignments") shows one card per period: beds offered, attendees placed, and who still needs a home. Place each young person with a host for each period; a period that is fully covered says so.

The variety rule: when hosts pick their own guests, a family cannot choose the same young person for more than one of their periods; everyone rotates to a different home. The committee screen is not restricted, so you can always override where judgment says otherwise.

Hosts who call instead of clicking: the + Add host button records them with just a name and phone number.

Telling everyone: Notify guests texts each young person their host for each period; Notify hosts sends every family their guest list. Run them again after changes; only the affected people hear about it.

The printed chart: the Print menu's Lodging Assignments report lists every attendee's home, period by period, ready for the bulletin board.
